HRIS Automated Campaign Integration Guide
The IEX Portal offers automated gifting campaigns triggered by data from your company’s HR tools. This feature utilizes Merge.dev as an API layer between the portal and third-party applications, eliminating the need to build individual integrations for every different HR app.
Key Integration Features:

Daily Synchronization: The IEX Portal connects to the HR tool daily to check for updates.

Data Privacy: The portal does not store full employee records. It retains only the information necessary to execute a shipment: first name, last name, and email address. Updates from the HR tool are checked daily through the IEX Portal <-> HR connection.

Supported Systems: A list of supported HR system integrations is available via the Merge.dev API.
Campaign Workflow:
Once an automated campaign is established, the system creates a "Send" that includes a Claim Link. On the scheduled date, the following process occurs:
- Activation: The Send becomes active within the Portal.

Notification: An email containing the Claim Link is delivered to the employee's designated email address (business or personal).

Fulfillment: When the employee accesses the link, relevant details are pre-populated in the Claim Shipping form to streamline the process.
Available Campaign Types
Currently, the portal supports three specific types of automated campaigns. Each has distinct logic for identifying eligible employees.
1. New Hire Campaign
This campaign identifies newly hired employees and automatically delivers a claim link on their Start Date.

Key Information Checked: Employee Start Date, Start Year, and Personal Email.

Detection Window: The system checks for start dates ranging from 1 week before to 1 month after the current date.

Example: On July 31, the system searches for employees with start dates between July 24 and August 30.

Scheduling: If a start date falls within this range, the email is scheduled for delivery on that exact start date.
2. Anniversary Campaign
This campaign tracks work anniversaries and schedules a gift email for the day of the event. You can create separate campaigns to target specific milestone years

Key Information Checked: Employee Start Date, Start Year, and Work Email.

Detection Window: The system checks for anniversaries occurring 1 week after the current date.

Example: On July 31, the system looks for start dates between July 31 and August 7 in previous years.

Scheduling: If eligible, the email is scheduled for the employee's specific anniversary date.
3. Birthday Campaign
This campaign identifies upcoming birthdays and schedules a claim link to be sent on the employee's birthday.

Key Information Checked: Employee Date of Birth and Personal Email.

Detection Window: The system checks 1 week after the current date to identify upcoming birthdays.

Example: On July 31, the system looks for birthdates between July 31 and August 7.

Scheduling: If a birthday falls within this range, the email is scheduled for that exact date.
Setup Instructions
To begin using these features, Imprint Engine will generate a unique integration link for the customer. The customer must click this link and follow the pop-up prompts to authorize the integration.
